What We Covered

Therapy Companion Workbook

You launched the workbook at $50 with physical copies available for clinic patients. We're going to build a simple landing page linked to Stripe for PDF sales, with a separate flow to handle manual physical book orders. We also discussed creating a condensed free version patients can download — good for goodwill and funnel building. You'll send the PDF and a cover page for design.

Dakota AI Demo & Scheduling

We walked through the live Dakota chatbot demo. A couple of cleanup items: remove the "in-home" scheduling option, and streamline the question flow for returning clients. The core scheduling logic is already built — Dakota reaches out to patients with a curated schedule based on Amanda's availability (set on the 1st and 15th), handles conflicts, and confirms directly into SimplePractice via Luma Health. No patient self-booking, no manual back-and-forth.

Automation Access & Email Sequences

You'll receive limited read/view access to GHL so you can see contacts, workflows, and statuses without accidentally breaking things. We also reviewed the monthly nurture email sequence — it triggers automatically for new clients and will be expanded with better content and subject lines. Confirmation email headers are being consolidated and added into templates. We also fixed the console booking email issue — intake form emails are now triggering consistently post-booking.

SOPs & In-House Admin

We reviewed your scheduling SOP and POC tracking SOP. I'm going to draft a job description for the in-house admin role that clearly separates what the automation handles vs. what the human handles — so you're hiring for the right things. The four-phase automation plan (scheduling sync, POC tracking, remittance/billing, Medicare threshold tracking) is the backbone this hire will work around.

PT Schedule Coordination & WebPT

The bi-monthly manual schedule share with Synapse PT stays in place for now. We agreed to investigate whether a WebPT API integration is feasible — so that SLP and PT schedules can talk to each other automatically rather than relying on email. I'll look into access and scope.

SEO Action Plan

We walked through the full SEO plan. Key decisions from our conversation:

  • Remove Woodstock — you confirmed you're no longer taking Woodstock clients. We're pulling Woodstock from the website and redirecting that energy to Sandy Springs. When I ran your site through Gemini and ChatGPT, Woodstock was the first thing that came up — that needs to flip to Sandy Springs.
  • Sandy Springs location page — dedicated SEO page targeting "speech therapist Sandy Springs GA" and surrounding keywords.
  • Credentials authority page — a dedicated /about page that fully features your M.Ed., CCC-SLP, licensure, clinical background. This is a direct E-E-A-T signal for healthcare searches and also helps AI tools (ChatGPT, Perplexity) cite you accurately.
  • Blog optimization — you're already writing, which is great. Before those posts go live, I want to run them through E-E-A-T structure (credential callouts, schema, internal links, FAQ sections). You'll send them over and I'll optimize them first.
  • GBP — you'll update the service area cities (Sandy Springs, Roswell, Alpharetta, Marietta, Atlanta — not "Georgia"), connect WhatsApp (routes into GHL, you never open the app), and upload office + headshot photos.
  • Target — 50% increase in GBP profile views in 3 months, 100% at 6 months, aiming for ~1,000 organic site visits/month by end of year.
